Cenobe acts as a data controller and a data processor in terms of the GDPR when handling Personal Information, unless there is a specific data processing agreement with you in which case you would be the data controller and Cenobe would be the data processor.
The role of Cenobe may also differ depending on the specific situation involving Personal Information. Cenobe acts in the capacity of a data controller when we ask you to submit your Personal Information that is necessary to ensure your access and use of the Website and Services. In such instances, Cenobe is a data controller because we determine the purposes and means of the processing of Personal Information and we comply with data controllers’ obligations set forth in the GDPR.
A. User account
Purpose. When a user account is registered, Cenobe will process the user’s personal information to provide you with your account details and manage the user account. In case of a joint user account, bear in mind that the administrator of the account may be able to access this account, disclose and/or modify information related to the account.
Categories of personal information. During the activation of a user account the following type of information is collected: name, website domain, e-mail address, as well as billing and payment information.
Legal basis. Processing the above-mentioned information is necessary for the fulfilment of the contractual obligations of Cenobe with respect to each user account, since Cenobe agrees to provide each user with a unique account, after each user’s registration
Storage period. Cenobe will store and process each user’s personal information for as long as the user account is active, unless we are obliged by respectively applicable law and regulations to extent the processing for a longer time period (e.g. accounting legislation).
B. Use of Cenobe’s Services
Purpose. By using Cenobe’s services, the user agrees to Cenobe processing his/her personal information, which is to some extent automatically collected based on the respective use of the services and in accordance with the respective agreement (e.g. administration of the user account, personalization of the use of service)
Categories of personal information. During the use of Cenobe’s Services, the following type of information is collected: IP-address, websites that the user has visited before visiting the website of Cenobe, identification numbers associated with the devices used, the user’s mobile carrier, browser type local preferences, date and time stamps associated with the user’s transactions, system configuration information, metainformation concerning the user’s files and other interactions with our service.
Legal basis. Processing the user’s personal information while using Cenobe’s services is mandatory for the proper delivery of the agreed functional aspects of the service. In case the account was registered on behalf of the user’s employer, processing is necessary in order to conduct business with the user’s employer.
Storage period. Cenobe stores and processes personal information for the entire time period which is necessary for fulfillment of our contractual obligations, unless the law or Regulations applicable foresee a longer time period of processing. Therefore, the storage period may thus vary depending on the respective contract term.
C. Contacting Cenobe
Purpose. When contacting Cenobe via our website, social media or our marketing activities, we process the personal information provided by the user in order to respond to your contact queries and/or provide support related to our Service or Website.
Categories of personal information. As Cenobe processes the personal information we have been provided with, within the scope of interacting with the user, this personal information typically includes: the user’s name, contact details and information related to the support matter.
Legal basis. In this case information processing is necessary for the fulfillment of our contractual obligations –when contacted regarding the provision of our services- and/or for our legitimate interest of Cenobe to communicate with the user and provide the respective support if needed.
Storage period. Cenobe stores and processes personal information for the entire time period which is necessary for responding to your contact request and/or providing the assistance needed. In case of outstanding commitments, Cenobe may continue the user’s information storage. This also applies to other cases in which Cenobe is required for other reasons to store the personal information (e.g. legal requirements or legal interest of Cenobe).
D. Marketing Purposes
Purpose. Cenobe will process personal information for marketing purposes, i.e. direct marketing actions, event invitations and other types of commercial communication. In some cases, our direct marketing may be customized based on profiling, which means that the advertisement received by the user is based on the respectively provided information (e.g. firmographics, role and expertise).
Categories of personal information. In this case the personal information includes: the user’s name and contact details, as well as the user’s interests and expertise, website usage and on rare occasions meal preferences.
Legal basis. In this case, information processing is necessary for maintaining good customer relations, as well as keeping our customers informed about Cenobe and its services. In case you are using our services as a private individual (i.e. not acting on behalf of a company, as an employee or otherwise) any direct marketing activities will be subject to your consent.
Storage period. Users may opt-out or unsubscribe from any marketing or business related communication any time. In such cases personal information will no longer be processed and, unless there is another legal basis for storing the user’s information (e.g. an active user account), any information will be erased.
